After you sign up with EverLogic, getting started happens right away. As soon as your order is processed by our accounting department we will begin the implementation process. We have seen dealers get up and running in as little as a week. We have also seen the opposite happen where a dealer chooses to take several months. A good gauge for completing the implementation process is 30 to 60 days.
Step 1: Set appointment with your Implementation Coordinator
Your implementation coordinator will be contacting you within 72 hours after your order is processed. During this time your database is created by our development team and your log in credentials will be assigned. We will send you an email with your log in credentials and a self-installation guide for downloading and installing the EverLogic onto each of your workstations. If you are not comfortable installing the software on your own, you can call our support team and they will gladly install it for you.
Step 2: Meet with your Implementation Coordinator
In this meeting there are several objectives that we want to accomplish:
- Get a training schedule established for you and your staff
- Have you identify documents that need programming (if applicable) and have you send them
- Have you send us distributor electronic catalogs for loading into EverLogic
- Have you send us any data that you want pre-loaded such as customer and vendor lists, inventory, etc.
- Walk through all customizations with you so we can set your application preferences
- Show you how to create employees and user accounts so your team can also access EverLogic
This meeting usually takes a few hours, so please set aside some time to get this accomplished.
Step 3: Get Going
This step will take the most time and all items can be worked on concurrently.
Upload catalogs and existing data
This process usually takes about a week depending on the amount of data you want converted. During this period, you should be taking training on the system.
Get trained
Training usually takes a week to cover all the modules. Your co-ordinator will help you schedule all the classes and show you where you can access additional pre-recorded training classes and written documentation on the EverLogic software and business processes.
Program finance contracts and closing documents
Once we receive your original documents (blanks) and sample (with data) we begin programming the documents to your specification. If the document needs to be printed on multi-part forms we will program it that way. If it can be programmed for plain paper (laser) we will program it that way. This process usually takes the longest and we ask that you budget 3 weeks for this process to be completed (depends on the number of documents to be programmed).
Step 4: Setup QuickBooks interface
Your coordinator will assist you in setting up the interface with QuickBooks. If you have an existing QuickBooks chart of accounts we will work with it. If you need a chart of accounts we will provide you with one. We use an item-to-item-to-account mapping process. In a nutshell, we map a EverLogic item to a QuickBooks item that is mapped to a General Ledger account in QuickBooks.
